Defence SIG Secretariat & Events Co-ordinator Job Description
Role Outline
ADS operates a number of Special Interest Groups (SIGs) to support specialist business development opportunities on behalf of our members and to help shape and influence policy in order to increase investment in our sector. These SIGs are mature and have clear outputs to drive value and impact, we now have a need for a dedicated individual to help co-ordinate the SIGs across the team, to help deliver against our strategic priorities and to capture the benefits realised in these fora s to inform our membership impact report.
This role will support senior stakeholders across the UK EU landscape, including ADS membership engagement with the Front-Line Commands, Ministry of Defence, DE&S, Single Source Regulations Office and NATO Industry Advisory Group (NIAG). This role will be instrumental as a key point of contact for the Defence sector team and support key events including DSEI, Air Capability Symposium, DPRTE and Farnborough International Airshow.
Would suit candidate with sound secretarial and marketing skills. Knowledge of Microsoft Office. Knowledge of Membership organisations, CRM functions and defence/security industries useful. Flexible and willing to work under own initiative with good communication skills. Must be willing to undergo National Security clearance.
Role Responsibilities
Secretariat Support to the Defence Sector SIGs and SIG Chairs, to include
Secretarial Duties
Organising Meetings & venues, calling notice, agenda, collating papers, upkeep of attendance lists, drafting minutes
Managing membership enquiries and membership applications
Maintaining CRM database
Badging and event coordination
Supporting sub-groups e.g. through webinars
Administering Membership and Marketing fees as appropriate
Support to SIG Symposia & Conferences
Liaison with SIG leads across ADS sectors, spreading best practice, ensuring consistency and coordination
Membership support
Membership liaison and contact point, arranging visits, meetings etc
Attendance at Conferences/Seminars
Help co-ordinate meet the buyer events
Development of SIG web pages and content and publicity/membership material
Support to Wider Defence Team
Support to delegation programme for DSEI and FIA
Co-ordinate monthly defence bulletins and sector reports
Admin support for Defence briefings as required

No budget responsibility
Reporting Structure
The role directly reports to the Head of Business Development.
Skills & Competencies
Sound secretarial and marketing skills
Knowledge of Microsoft Office Packages
Defence or Security industry knowledge desirable
Flexible and willing to work under own initiative with good communication skills
Must be willing to undergo National Security clearance
Ability to communicate with people confidently and professionally at all levels
Excellent time management skills
Self-motivated and proactive approach to work
Excellent organisational ability

Contract & Benefits
Contract Type; Permanent, fulltime role, Monday to Friday, 37.5 hours per week
Location; Hybrid working- 3 days in the London/Farnborough office and 2 days from home
