JOB PURPOSE

The Executive Assistant will provide a pro-active and high-level business support to the Deputy CFO, Global Performance Management Vice President and Group Chief Accountant. In this busy and demanding environment, a top level of service is required at all times. This role requires an Assistant who is a self-starter with attention to detail, who can interact regularly with a solid network both inside the business and externally.

The role also requires a high level of professionalism and discretion due to the confidential nature of these teams. You must be capable of managing your own time flexibly and effectively, juggling day to day tasks and managing complex diary and travel schedules.

RESPONSIBILITIES

• Organising international travel, including preparation of itineraries, visas & other requirement documentation.
• Organisation and administration of local meetings & visitors – coordinating all logistics i.e. attendees, timings, equipment and rooms.
• Ensuring forward planning of meeting schedules, ensuring agendas and pre read are delivered in advance where required.
• Effective connection within the PA community across Unilever.
• Submit travel and expense reports in a timely fashion
• Prioritize and handle internal and external correspondence
• Provide executive, administrative, and analytical support to the team to ensure timely and effective communications between stakeholders
• Supporting with budget management and raising purchase orders.
• Arranging team events such as lunches, dinners or other activities.

ALL ABOUT YOU

• This role requires proven experience as a Personal Assistant and experience working in a corporate environment and regional/global organisation.It requires very high levels of discretion and absolute confidentiality.
• The jobholder must be well organised, able to prioritise tasks of high complexity including last minute travel requests.
• Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary.
• Comfortable working in a hybrid environment and experience building collaboration with people from different cultures around the world
• Candidates should have a high degree of maturity and interpersonal skills, and the ability to build a strong partnership with the entire team.
• Fully operational in all IT systems: TripActions, Concur, SharePoint, Workday, Adobe and Power BI in addition to the usual Microsoft Office suite (Word, Excel and PowerPoint).
• Accuracy, speed, proactivity, and an ability to ‘get things done’ are vital.

Location

In September 2020, Unilever announced the intention to build a new sustainable campus site in Kingston, London to house the employees who currently work in 100 Victoria Embankment in Blackfriars, Lever House in Kingston and Graze in Richmond. We are creating our own Unilever sustainable, agile work environment, purposefully bringing us together in our own Unilever ecosystem. The campus is due to be completed in early 2025 and will consist of two interconnected buildings, as well as landscaped surrounding areas.

Recruitment Fraud

Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.

How is Unilever tackling this?

Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
